Virtual events can work well, delivering the same content and message as a live event, but at ‘arm’s length’ with no one actually meeting face to face.

How has COVID-19 changed the way Icon do events?
In March 2020 we were scheduled to support a major banking client with a live two-day conference in Paris, which at the last minute had to be cancelled due to the lockdown restrictions of COVID-19.
We had to quickly come up with a simple virtual solution that would bring the speakers and delegates together, deliver the key content, allow Q&A, all whilst still engaging the audience. Of course we had do all this with everyone working from the comfort and safety of their own homes.
How did we do this?
Our event producers contacted the individual presenters and tested their online connectivity, microphone and picture quality on their preferred choice of platform, a week before the virtual event was to take place. This was to ensure they felt comfortable with the technology and looked professional on screen.
We then worked closely with our client to create a custom branded website which would host the virtual conference. Our platform included a secure registration and reporting system and would allow the audience access to additional documentation as well as the live video. It also acted as the replay site post-event.
On the event days each presenter was onboarded and prepped into a virtual green room, 30 minutes before their live session, where they met up with their moderator and the other panellists. They were all then moved on to the virtual stage to broadcast to the online audience, who could engage with them through our live Q&A system.
Was it successful?
The virtual conference was a great success and the feedback was really positive. Viewer numbers were over four times the expected live audience numbers and we have since conducted a number of other virtual events for the same client.
